CANCELLATION AND REFUND TERMS & CONDITIONS
Accommodation
For accommodation cancellation policies, please refer to the individual hotel policies noted on the website. Any amendments to original hotel bookings must be forwarded via email to the ASM Office. Verbal changes or cancellations cannot be accepted nor will the hotels accept any changes advised to them directly.
Voluntary Cancellation
Cancellation of a registration must be advised via email to the ASM Office. Verbal changes or cancellations cannot be accepted.
Should you decide to cancel your registration; the following refunds will apply from the date of receipt of notification:
| On or before Thursday 26 May 2022 | 100% refund less an administration fee of $110 including GST |
| On or before Thursday 30 June 2022 | 75% refund less an administration fee of $110 including GST |
| On or before Thursday 4 August 2022 | 50% refund less an administration fee of $110 including GST |
| After Thursday 4 August 2022 | No refund is available although registration may be transferred to another individual |
Refunds will be returned by the same payment method as the original receipt of funds. No refund will be made after Thursday 4 August 2022 however an alternative delegate name may be provided by email and the booking and funds will be allocated accordingly.
Please note no refund or discount will be made if a function or event inclusive within the registration fee is not taken up, or if you subsequently cancel your participation in that function or event.
Optional social event tickets may be cancelled on or before Thursday 4 August 2022 and will be refunded in full by the same payment method as the original receipt of funds. After Thursday 4 August 2022 no refunds will be made, however an alternative delegate name may be provided by email and the booking and funds will be allocated accordingly.
In the case of extenuating circumstances, a refund outside of these terms and conditions may be considered by and at the discretion of The Australian and New Zealand Association of Oral and Maxillofacial Surgeons (ANZAOMS) upon application.
Changes to registrations, from in-person to virtual or virtual to in-person, will be permitted and will be processed on a case-by-case basis following application to the ASM Office via email
ASM Cancellation or Postponement
ANZAOMS may cancel or postpone the ASM due to circumstances beyond its reasonable control, including but not limited to Acts of God, terrorism, war, strikes or industrial action, fire, explosion, inevitable accident, breakdown of property, changes in law, or pandemics or global health crises. Due to the nature of the event, it may be reasonable to postpone the event to a later year and/or to change the location for the ASM.
In the event the ASM is not able to proceed as planned, and is moved to a virtual format, your registration will be transferred to a virtual registration and you will be refunded any difference in registration rates. If you choose not to attend the virtual ASM, ANZAOMS will not be required to refund any part of the ASM registration fee.
In the event of a full cancellation of the ASM by ANZAOMS, you will be entitled to a full refund of the amount of the ASM registration fee received.
The maximum liability of ANZAOMS under these Terms and Conditions is limited to a refund of the ASM registration fee with no additional liability for travel costs, hotel costs, or any other associated costs.
COVID-19 Compliance
All participants at the ASM will be required to comply with the COVID Safety Guidelines and protocols in place with the venues and the ASM which will be aligned and compliant with all relevant Government health advice at that time. By registering for this event, ANZAOMS reserves the right to provide your contact details to authorities for the purposes of contact tracing and any other relevant Government requirements.
Details of the protocols and requirements will be available on the website and all registrants will be bound by these requirements.
Delegate Cancellation – Medical
The health and safety of ASM attendees is our highest priority. ANZAOMS is mindful of the health risks posed by COVID-19, and the importance of following official medical advice with respect to social distancing, practicing good hygiene and staying at home when unwell. ANZAOMS requests that any delegate who is feeling unwell or has cold or flu like symptoms, or who may have been in contact with someone with COVID-19, not attend the ASM.
If, on medical grounds, you are unable to attend the ASM, you must cancel your in-person attendance in writing by email to anzaoms@wsm.com.au. A full refund may be provided at the discretion of ANZAOMS, however you may be asked to provide additional details.
Insurance
Participants are strongly advised to secure appropriate travel and health insurance. Delegate registration fees do not provide any such insurance coverage. The Organising Committee and the ASM Office accept no responsibility for any loss in this regard.
Tax
All ASM registration fees and additional ticket rates are quoted in Australian Dollars. GST at 10% is included.
Disclaimer
By registering, participants acknowledge and consent that during their attendance at the ANZAOM ASM their image may be photographed and recorded by an officer or official photographer appointed by ANZAOMS or may be distributed or published at the discretion of ANZOAMS. If you do not wish to be recorded, you are required to formally advise the ASM Office in advance by email.

In keeping with the provisions of the National Privacy Act, WALDRONSMITH Management is committed to the protection of the privacy of this personal information received during the ordinary course of business. If you are a visitor to our website and you provide personal information to our staff via this website, your personal information will be treated to the same privacy as other forms of communication. As an Internet user you should be warned that there are risks associated with transmitting information across the Internet. Cookies may be used on web sites. Users can set their Internet browser to refuse cookies but access to e-commerce areas may be impeded.
WALDRONSMITH Management takes no responsibility to ensure that the Data is accurate, complete and up to date, particularly after the completion of an event. WALDRONSMITH Management takes reasonable steps to protect the Data it holds from misuse, unauthorised access, loss, disclosure or modification. Credit card numbers are encrypted. On completion of an event the information is given to the client and a back up copy is securely archived. It is anticipated that your key personal information will be subject to routine review by you when dealing with WALDRONSMITH Management. If you should find that any information is incorrect or obsolete you are encouraged to make contact with WALDRONSMITH Management and to authorise any necessary changes.
Additionally, by registering for this event ANZAOMS and WALDRONSMITH Management reserves the right to collect and provide your contact details to authorities for the purposes of contact tracing and any relevant Government requirements.
